Inventory is the stock keeping unit of the products. The benefit of keeping an inventory is to track all stock in one place. The owner will no longer have to worry about the product that goes out of stock. This is because records are evaluated from time to time. It is easy to update the quantity of the products and reorder it when their status changed to “out of stock”.

Once the quantity gets modified, the product which was previously not available front end due to its “sold” status will display now. Another advantage is that it requires no coding and involves less effort to upload and update stocks.

The simplest way to manage inventory is to upload the files directly in a CSV format. You have to make sure that the CSV file you upload is in a proper format. A well designed CSV format includes the details of the product, its category, and subcategory, etc. Make sure that you select the desired warehouse in the dropdown category.

The CSV file you will upload can be located anywhere in your system, you just need to select it and drag it into the inventory section. As a result of which, the stock of the products will be updated automatically.

Now the question is what should be in the CSV file that you are going to upload in the inventory section.

  • Firstly, there is a field containing the product name & description.
  • Next, there is a stock quantity field for which this file is being created.
  • The file should include all images that go directly into the gallery out of which the first one would be the main product image.
  • The same file will contain product SKU, regular and sale price of the product, and other additional details.
  • The best part about having an inventory is that it not only allows you to update stock from time to time but it lets you download current existing inventory.
  • The newly created CSV file can be uploaded again & again to go with the latest modifications.

There are different tabs available under the inventory section: manage inventory, update inventory, download inventory, and upload inventory.

Manage Inventory - Now that the admin has uploaded and updated the product’s inventory, another essential need is to manage inventory.

This section is primarily designed to make minor modifications. The tab is available right under the inventory menu. The inventories are cataloged in the form of a table from where it is searched and modified.

Various search options are available at the top to ease the process of finding inventories. These options are more of a search filter to choose the desired category and subcategory. Three search boxes are available, out of which the first two fields are dropdown. The last search box allows you to type a suitable keyword in the space provided. This way you can find out the needed inventory. Either, select categories, subcategories from the dropdown, or provide input in the text box.

The table contains details such as the name of the warehouse, item number, id, name, mini stock, status, stock level, etc.

  • Click on a particular inventory to edit it.
  • You can choose to perform modification in any field, be it in an item number, stock level, etc. This is helpful if you have wrongly put up information while uploading the CSV file.
  • The manage inventory tab gives you an option to rectify the incorrect data uploaded to the server.
  • An update button is available at the bottom. The button is used when you are done editing a particular inventory and now it’s the time to finish the update process.
  • In such a case you click on the update button to save changes. Once available for modification, inventory can be updated with the latest stock.

Update Inventory - The “update inventory” tab is slightly different from that of the upload inventory.

In upload inventory, the user is required to upload the CSV file and update its stock. However, in “Update inventory”, the admin is only required to mention the current stock of the product that needs modification.

The process to update inventory is as simple as it sounds.

  • Find out the product which needs modification in the stock value.
  • The tab doesn’t contain any text field to type the product and search it.
  • Instead, the selection is made easy by choosing the desired options from the dropdown.
  • There are four separate fields out of which three are dropdown boxes.
  • The first field requires you to select the product from the number of options available.
  • Then there are other two fields: combination and warehouse. You can choose products in combination with which stocks can be updated. The combination however is an optional field.
  • The admin can choose to leave it blank or enter products in the list.
  • The selection of the warehouse is required in the next step. It surely can’t be left empty.
  • The last and most crucial field here is the current stock. Type the desired number in the field.
  • The number inputted in the stock field is equal to the quantity available for the product.
  • Finally, click the “Update” button at the bottom to finish updating inventory.

Let’s review more of it. Take your mouse to the inventory tab under the admin dashboard. Before you try to manage and update inventory, make sure to upload the latest stock of the product. Click on update inventory and a screen will appear. Select the desired product, its combination, & warehouse from the dropdown. Then mention the current stock of the selected product and click submit.

Download Inventory - The “download inventory” serves only one purpose which is to download the complete stock of the warehouse.

  • In the first step, you have to make a selection of the warehouse.
  • The next step is to click the “Download” button and files will be automatically downloaded.
  • There is no time limit to download inventory. The admin can download it anytime. A login is only required to access the inventory section.

Upload Inventory - To upload the product inventory, one needs to create a CSV file with all the information.

This section is there to let the admin upload inventory in one go. It is just a two-step process whereby the admin is first required to make a selection of the warehouse. It is then followed by uploading the CSV file format. The CSV file must contain the proper format. It should be designed neatly, and in synchronization with the added products.

Let’s proceed by entering details.

  • The first step is to choose a warehouse.
  • Select option from the dropdown. You will see a list of warehouses; you just need to select the desired one.
  • You may be managing different warehouses at a time and thus it is important to choose the correct one.
  • Then in the next step, upload the inventory file in CSV format.
  • This comes helpful especially when there are large numbers of inventories to handle and upload can be done in a single instance.
  • Directly upload the file here and it allows all inventories to get modified with the latest stock.
  • The files can be uploaded by the drag and drop method.
  • Alternatively, click the “Upload” button and it will let you browse through different folders on your PC.
  • Select a file and click open to upload it to the server. Now sit back and relax.
  • In case you change your mind, select the cancel button and no file will be uploaded.
  • The stock of the products listed in the CSV file will be automatically modified, thereby making it visible front end.
